VAVibe Volunteer Needs/Assignments

Thank you for considering volunteering for VAVibe 2024! Your support is crucial to its success, and we truly appreciate your willingness to contribute. As a volunteer you will get free admission to the concert, a souvenir lanyard, and free water, soda, and snacks throughout the day.

Volunteers are needed as early as June 15 – June 22.

VAVibe concert begins June 22 at 4:00 pm.

Day of volunteers are asked to show up at designated times below hours before the event starts. We will communicate with you through email with all of the info you need ahead of time.

Please note that while we value your preferences, volunteers will be assigned positions based on the event’s needs. This ensures that all aspects of the event are adequately covered and guarantees a seamless experience for all attendees. Rest assured, every role is vital in creating a memorable event, and your dedication is immensely valued. Thank you for your understanding and commitment to making this event a success!

List of possible duties:

Set-Up Crew – Week Prior to Event:

  • Assist with various set-up tasks such as placing trash cans/bags, assembling fencing, setting up tables and tents, hanging banners, etc.

  • Flexible hours throughout the week prior to the event.

 

Back Gate Coordinator – Day of Event:

  • Manage back gate operations to facilitate entry for vendors and food trucks.

  • Utilize provided map to ensure vendors reach correct set-up locations.

  • Time commitment: 3-4 hours.

 

Trash and Bathroom Attendant  – Day of Event (PAID POSITION):

  • Continuously empty trash cans into dumpster.

  • Monitor and restock porta-potties with toilet paper.

  • Time commitment: 1:00 pm until the end of the event.

 

Parking and VIP Parking Oversight – Day of Event:

  • Coordinate parking with Halifax High School Band.

  • Ensure smooth flow of vehicles and oversee VIP parking.

  • Start time to be determined, approximately 8:00 am.

 

Front Gate Ticket Sales – Day of Event:

  • Reliable individuals to handle ticket sales at the front gate.

  • Must be good with money, honest, and quick.

  • Shifts available from 10:00 am to 8:30 pm, with at least 2 volunteers per shift.

 

Security – Day of Event:

  • Work with Warfield Security and off-duty police to conduct security checks at entrances.

 

Bag Check Station – Day of Event:

  • Ensure compliance with event rules by checking bags for prohibited items.

  • Minimum of 2 volunteers per shift from 10:00 am to 8:30 pm.

 

Tent Coordinator – Day of Event:

  • Procure and set up tents for sponsors, alcohol ticket sales, VIP hospitality, and merchandise.

  • Ensure correct placement of tents

  • Take down tents and return after the event.

 

Alcohol Ticket Sales – Day of Event:

  • Manage POS system or handle cash for alcohol ticket sales.

  • Verify age and issue wristbands to patrons.

  • Shifts available from 10:00 am to 11:00 pm, with 2 volunteers per shift.

 

Beer Sales:

  • Help with serving and checking for wristbands.

 

Banker – Day of Event:

  • Collect money from various stations and securely lock it up.

  • Time commitment from 10:00 am to midnight.

 

VIP Entrance Attendant – Day of Event:

  • Check VIP credentials before allowing entry to VIP seating area.

  • 1 volunteer per shift.

 

VIP Tent Hospitality  -Day of Event:

  • Distribute water to VIPs and volunteers throughout the day.

 

Merchandise Sales – Day of Event:

  • Assist with merchandise sales including shirts, beverages, ice cream, glow sticks, etc.

  • Handle transactions accurately and upsell products.

  • All-day availability with at least 2 volunteers.

 

Artist Hospitality

  • Provide hospitality services to performing artists.

 

Sponsors Meet and Greet

  • Assist Melanie plus one other in meeting and greeting sponsors.

 

Golf Cart Drivers

  • Transport individuals or equipment as needed during the event.

 

Choosing Openers and Emcee

  • Participate in the selection of opening acts and assist in finding an emcee for the event.
